Patrons may call the library to cancel their future kit reservations. Before deleting a reservation for a patron, you will need three pieces of information: the patron’s name, the title of the kit, and the dates that the kit is reserved for. If the kit has already been shipped from one library to another for the patron the further steps may need to be taken to send the kit back properly (see bottom of page). If your library uses patron authentication, patrons can delete their own reservations using My Kits.
Basic Deletion of a future Kit Reservation
- Login to KitKeeper as Staff or Admin.
- Scroll down to the Patron Kits field in the Staff - Kit Management Functions and select the title of the kit from the drop down list.
- You will get the option to choose PAST, CURRENT, or FUTURE reservations. Choose the appropriate button.
- Find the Patron's name and the correct reservation to delete and hit the DELETE button.
How to delete a reservation for a patron when the kit has already been sent from one library to another
Patrons may want to cancel a reservation for a kit even though the kit has already been sent from one library to another and the kit tracking process has begun. Different libraries may have different policies about how to address the patron’s request, but from a KitKeeper perspective the kit needs to be properly reset so the kit can be returned to the correct library and other patrons are able to reserve the kit.
Getting the kit ready to send it home: printing a routing slip
- Login to KitKeeper as Staff or Admin.
- Scroll down to the Staff Action Table and click on “Kits that Require My Attention” from the drop down menu.
- You should see the kit that needs to be reset and its list of states. Two of the states are highlighted in blue as hyperlinks. These are the links to the routing slips for the particular kit. Click on the second blue link to pull up a routing slip to send the kit home.
Deleting the reservation
There are two ways to reset the kit state. The first way is to track the kit through the states using the kit tracker. The benefit of doing it this way is that the kit will show up in KitKeeper as “sending” and will prevent any reservations from being made until the kit shows up at the home library again. The downside is that several emails will be sent to the patron and the library staff in quick succession about the kit that could be confusing. The other option is to completely delete the reservation as detailed above. The benefit is that no confusing emails will be sent to the patron and staff. The downside is that the kit will show that it is available to patrons when really it will be shipping back to the library, which could take a couple days.
Using the Kit Tracker to return a kit to its home library early (recommended)
- Login to KitKeeper as Staff or Admin.
- Scroll down to the Staff Action Table and click on “Kits that Require My Attention” from the drop down menu.
- Find the title that you would like to reset and click on the Track button.
- Continue to click through all of the states up to Patron is Returning the Kit and it is being shipped.
- Attach the shipping label to the kit and send it out.
